Job Title: Business Operations Coordinator

Overview
We are seeking a highly organized Business Operations Coordinator to support project operations, customer interactions, quoting, and follow-ups. This role is operations-heavy with light sales involvement to help keep projects moving efficiently.

Key Responsibilities

Operations & Scheduling

  • Schedule daily jobs and update shared calendars with accurate project details
  • Coordinate internal communication (Slack, CRM, etc.)
  • Create and maintain project job trackers, including invoices, payroll, and logs
  • Track job progress and update “remaining moves” for billing visibility

Customer Interaction & Sales Support

  • Communicate with customers via phone, text, and email
  • Prepare and send quotes/estimates
  • Conduct follow-ups on leads, open quotes, and ongoing projects
  • Support relocation consultants and sales team with customer coordination

Invoicing, Payroll & Inventory

  • Prepare and verify invoices in line with contracts
  • Track daily crew hours and update payroll records
  • Manage inventory and storage tracking, including unit setup and closures

Storage Maintenance

  • Book new storage units as needed for ongoing projects.
  • Track and record monthly storage payments.
  • Monitor project-specific storage allocations.
  • Close excess storage units once a project is completed or no longer required.

Ideal Background

  • Experience in operations, admin, logistics, or customer service
  • Familiarity with CRM tools, scheduling, and basic spreadsheets

Pay: $17.00 - $20.00 per hour

Work Location: In person
