Job Summary:
The Membership Data Coordinator owns our members' complete onboarding and offboarding process. You will work systematically to ensure every new franchisor meets our standards, coordinating documentation collection, reviewing Franchise Disclosure Documents (FDD), and verifying compliance data precisely. Your methodical approach ensures only qualified franchisors join our network while maintaining the accuracy and reliability of all extracted data.

Data stewardship is central to your success. You will maintain comprehensive, up-to-date records in our CRM, including Franchise Listing Service (FLS) updates, milestone tracking, and data integrity monitoring at every stage. The information you organize and curate directly impacts hundreds of brokers who rely on this data daily to match clients with the right franchise opportunities. Your systematic attention to detail enables brokers to make confident recommendations and helps potential franchise owners make well-informed business decisions.

You will be the quality guardian of our franchise inventory and member database, ensuring every process reflects our commitment to professionalism and reliability. Success in this role requires someone who follows established systems while continuously looking for ways to improve processes through data-driven insights.

Essential Duties And Responsibilities:
Operational Processing (30%)

·Serve as the primary point of contact for onboarding and offboarding membership accounts in the CRM and draft, send, and track contracts for all new and renewing business via DocuSign.

· Handle incoming CRM Tickets and email requests from franchisors; triage and resolve or escalate as appropriate.

· Manage all steps of the Franchisor onboarding and renewal, including collecting, reviewing, and extracting data from FDDs to populate and update Franchise Listing Service (FLS) inventory.

· Maintain up-to-date records in the CRM, tracking key FDD/contract dates, renewal dates, primary contacts, and membership data.

· Leverage AI tools to discover trends and patterns in member data, crafting clear, actionable stories that help teams understand what the numbers reveal about opportunities and challenges.

Data Maintenance & Project Management (20%)

· Ensure FLS listings are updated with the most recent data.

· Develop CRM dashboards and reports to track listing completeness and renewal progress.

· Systematically reach out to Franchisors to obtain current FDDs as needed.

Insights & Analytics (30%)

· Analyze CRM and performance data to spot membership and sales trends, risks, and areas of opportunity.

· Prepare succinct, actionable “meeting prep” reports for the Customer Success Officer, highlighting key metrics, member performance trends, gaps, and potential conversation points.

· Support annual review prep for premium members , including expectation vs. actual performance analysis, FBA/support activity tracking, and growth recommendations.

· Track and benchmark Broker pipelines, flagging pipeline blockages, drop-offs, or missed opportunities for growth.

Lead Source & Sales Performance Reporting (20%)

· Collect and analyze lead source data for Brokers, identifying which sources are delivering results and which are underperforming.

· Generate regular (“quarterly” and as-needed) reports demonstrating cost-per-lead, conversion rates, and growth opportunity for each Broker.

· Prepare actionable presentations or visuals that help brokers and CSMs make confident, data-backed business decisions about lead acquisition and investment.

Experience - Education:
· 2+ years in data analytics, business operations, franchising operations, or CRM data management (HubSpot a plus)

· Strong Excel/Google Sheets skills (and preferably basic data visualization—Looker Studio, Tableau, or similar)

· CRM savvy; you’re not intimidated by learning new database fields, CRM workflows, or building smart lists/reports

· Comfortable with contracts, data entry, and document processing (legal or franchise-document experience a plus)

· Approachable and effective at addressing member issues, with a talent for fostering positive relationships even in tough situations.

· Excellent written communication—able to turn data into actionable talking points for staff and members

· Operates with a high degree of accuracy, attention to detail, and discretion with sensitive data

· Proactive mindset: anticipates needs and chases down missing data without being asked

· A Data Analytics Certification is desirable (e.g. Google Data Analytics Professional Certificate, Microsoft BI Certification, Tableau Certification, etc.)
