Scottsdale-based Rose + Allyn Public Relations, a unique and renowned public relation, crisis communications, public affairs, political consulting, and event production firm, is looking for a bright, energetic and resourceful player to join and support our team so we can deliver exceptional results for our clients. The firm also owns and produces large polo, Kentucky Derby, art, music, and other fun events that this position will help make happen.
Note: This posting is for an on-site position in our Old Town Scottsdale office. This is not a remote position.
Responsibilities
- Coordinate internal and external meetings for the Owner/Principal
- Manage travel arrangements for the Owner/Principal including flights, accommodations and itineraries
- Recruit, train and manage interns
- Under guidance create invoices and record expenses in QuickBooks
- Take detailed notes in client and team meetings
- Maintain an appropriate inventory of office supplies
- Draft, edit and proofread professional correspondence. Upload press releases into online platform for distribution.
- Assist with special events as needed, such as guest check-in, set-up/tear-down, drafting social media posts, and other small tasks.
- Actively participate in team brainstorming sessions
- Provide support via research, memo creation, and special projects when needed
Requirements
The ideal candidate for the role will meet the following requirements:
- Proven work history in a fast-paced office environment. Bonus if experienced as C-level or Executive-level Assistant
- Experience in coordinating executive travel
- Ability to be pro-active, detail-oriented, and anticipate needs
- Work independently or as a team member, manage multiple projects simultaneously and achieve results on deadline
- Ability to be available during evening and weekend hours if needed.
- Positive attitude, resourceful nature, and excellent problem-solving capabilities
- Ability to take direction, receive and apply feedback
- Computer savvy with working knowledge of Microsoft Word, Excel, Outlook. Bonus if experienced with QuickBooks Online, Canva and / or iContact
- Commitment to customer service, confidentiality and integrity of information
Job Type: Full-time
Pay: $44,000.00 - $55,000.00 per year
