Job Summary:
Rapid Home Designs, a leading house plan company, is seeking a dedicated and organized Office Assistant to support the administrative functions of our office and assist the owner in daily tasks. The ideal candidate will handle a variety of office-related duties, ensuring the smooth and efficient operation of our office, while also providing essential support to our marketing efforts and maintaining our website.
Key Responsibilities:
- Administrative Support:
- Perform general office duties, including answering phones, managing emails, and handling correspondence.
- Organize and schedule appointments, meetings, and company events.
- Maintain and update filing systems, both electronic and physical.
- Order and manage office supplies and equipment.
- Support to the Owner:
- Assist the owner with daily tasks, including managing schedules, correspondence, and project coordination.
- Prepare reports, documents, and presentations as requested.
- Handle confidential information with discretion.
- Data Entry and Document Management:
- Input and update customer and project information in our databases.
- Prepare, format, and edit documents, reports, and presentations.
- Reception Duties:
- Greet and assist visitors, clients, and employees with a professional and friendly demeanor.
- Maintain a tidy and welcoming reception area.
- Marketing and Social Media:
- Assist in creating and scheduling content for social media platforms, including Facebook, Instagram, and TikTok.
- Engage with followers and respond to comments and messages in a timely manner.
- Website Management:
- Assist with updating and maintaining website content to ensure accurate and up-to-date information.
- Collaborate with the marketing team to implement new website features and updates.
- Invoicing and Receivables:
- Prepare and send invoices to clients.
- Track and manage accounts receivable.
- Follow up on overdue accounts and ensure timely payments.
- Support Projects:
- Provide support for special projects as needed.
- Perform other duties as assigned by the Owner.
Qualifications:
- Education:
- High school diploma or equivalent required.
- Additional qualifications in Office Administration or Marketing are a plus.
- Experience:
- Previous experience in an administrative or office assistant role preferred.
- Experience with social media management and website content updates is a plus.
- Experience with invoicing and managing accounts receivable is preferred.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with social media platforms (Facebook, Instagram, TikTok) and basic marketing principles.
- Basic knowledge of website content management systems (CMS).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Professional demeanor and strong interpersonal skills.
Working Conditions:
- Environment: Office setting with a professional and collaborative atmosphere.
- Hours: 8 AM to 4 PM, Monday to Friday
- Physical Requirements: Ability to sit for extended periods, lift light office supplies, and perform basic office tasks.
Job Type: Full-time
Pay: $15.00 - $17.00 per hour
Expected hours: 30 – 40 per week
