POSITION OVERVIEW
The Operations Specialist serves as a vital operational support role, providing comprehensive administrative assistance across multiple Foundation functions with particular emphasis on scholarship administration. As the first point of contact for callers and visitors, the Operations Specialist plays a key role in donor service and community engagement. This position requires exceptional organizational abilities, strong computer skills, and outstanding interpersonal communication skills.
ESSENTIAL FUNCTIONS OF THE POSITION
· Office Administration – Serve as lead receptionist overseeing all front office operations; Manage office supply inventory and orders; Coordinate correspondence; Triage donor inquiries.
· Facility Oversight – Coordinate vendor services for cleaning, maintenance, and grounds keeping; Ensure a professional office environment; Coordinate annual activities, such as spring planting and holiday decorating.
· Scholarship Program Management – Lead the Foundation's scholarship programs (pre-k through graduate opportunities); Serve as primary contact for student, parent, and school inquiries.
· Accounting Support – Assist accounting staff with accounts payable functions.
· Event Coordination – Assist with Foundation events and activities, both on site and off.
· Volunteer Coordination – Serve as the point of contact for volunteers supporting facility maintenance activities and Foundation events.
· Data Management – Support data entry operations for WCCF Gives and other Foundation database systems as assigned.
· Additional Responsibilities – Perform other duties as assigned; may work evenings, weekends, or extended hours as required.
SPECIAL SKILLS REQUIRED
Outstanding communication skills, both oral and written; Outstanding organizational skills and the ability to meet deadlines; Ability to function either independently or as an active team member; Ability to perform basic math computations; Analytical and problem-solving skills; Strong computer skills (Microsoft Office Suite and Web Based Programs); Ability to manage sensitive and confidential information with integrity.
EDUCATION / EXPERIENCE
Bachelor's degree or relevant experience required; Non-Profit experience preferred.
