Part-Time Client Service Representative (CSR) - Evenings & Weekends

Part-Time - 15-25 hours on average - Weekday evenings (2 to 10 PM) & weekends (9 AM to 7 PM)

About the Role

As a part-time Client Service Representative (CSR) with Transcend Veterinary, you will do more than just answer phones and schedule appointments. You will be part of building something new. Our evening and weekend team will have real ownership of the client experience during the hours you work. If you have worked a front desk before and are looking to keep those skills sharp on a schedule that fits around your life, this is a great fit.

This role is ideal for experienced vet front-desk professionals, CSRs looking to pick up additional shifts outside their primary job, or strong customer service candidates who want to break into veterinary medicine on a manageable schedule. Because coverage on evenings and weekends is tight, we are prioritizing candidates who can hit the ground running with minimal ramp-up.

Schedule & Hours

This is a part-time role built specifically to cover our evening and weekend shifts. We are looking for team members who actively want these hours, whether to supplement another job, balance family schedules, or stay engaged in patient care without a full-time commitment.

· Hours per week: Flexible. 15 to 25 hours on average, with scheduling built around your availability. Pick up as few or as many shifts as you want within that range.

· Weekday evenings: Shifts generally fall within a 2:00 PM to 10:00 PM window.

· Weekends: Shifts generally fall within a 9:00 AM to 7:00 PM window.

· Shifts evolve with the team: Exact shift lengths and start/end times will be finalized once we build out the team and collect preferences.

· Weekday coverage opportunity: As weekday shifts open up through scheduled time off, busy stretches, or team growth, you will be the first people we ask to pick up additional hours.

· Minimum commitment: We ask for a consistent pattern you can reliably cover each month. If life changes, we will work with you to re-pattern the schedule.

Responsibilities

· Client Communication: Serve as the first point of contact via phone, text, email, video chat, social media, and in-person interactions.

· Queue-Based System Management: Manage patient placement in the queue, update clients on their place in the queue, and contact clients when it is their turn to be seen.

· Client Check-In & Intake: Welcome clients, room patients, ensure information is up-to-date, and initiate financial discussions regarding budget and service estimates.

· Client Comfort & Support: Ensure clients and patients have water, snacks, and any necessary accommodations, including disability support and translation services. Prepare rooms with essential items like tissues for euthanasia appointments or children's books for clients with young children.

· Record Keeping: Utilize our cloud-based practice management software, Shepherd, to keep client and patient information updated. Work with local veterinary clinics for medical record transfers.

· Client Experience & Feedback: Gather and deliver client feedback to improve service quality and overall experience.

· Optional Cross-Training: CSRs have the opportunity to cross-train as veterinary assistants, providing additional schedule flexibility and career growth options.

What You Will Not Be Expected to Do: CSRs at Transcend Veterinary do not perform medical triage, check-out procedures, or take detailed medical histories. We respect the specialized training of our medical staff and ensure all roles are utilized appropriately within the team.

· Emphasis on Technology: We leverage digital, AI tools, and cloud-based software to streamline processes, increase efficiency, and keep shifts running smoothly.

· Commitment to Fear-Free & Low-Stress Handling: We prioritize the emotional well-being of our patients by implementing fear-free and low-stress handling techniques.

· Voice on the team: Even as a part-time team member, your feedback on how evening and weekend shifts should run matters. We would rather gather feedback and adjust than have you burn out quietly.

· Pathway to More Hours (and Full Benefits): Evening and weekend team members are given first priority when weekday shifts become available. Team members who consistently work 25+ hours per week are eligible for full benefits. For those who want more hours over time, a clear growth path is available.

Compensation & Benefits

Hourly Pay Range: $17.00 to $22.00 per hour

Pay is based on experience and skills. This range is set above the full-time equivalent of our standard CSR compensation to reflect the premium nature of evening and weekend shifts.

Our benefits package reflects our commitment to investing in the people who work here. Eligibility follows our Employee Handbook: team members who consistently work 25 or more hours per week are eligible for the full benefits package. Team members working fewer than 25 hours per week are eligible for a Personal Pet Care Discount, and receive a holiday-pay premium on hours worked on designated paid holidays.

Qualifications

· High School Graduate or equivalent.

· Excellent communication and customer service skills, including empathy, de-escalation, and a friendly demeanor.

· Strong technical skills: comfortable using practice management software, text/phone/email communication, and learning new technology quickly.

· Reliable availability within the 2:00 PM to 10:00 PM weekday and 9:00 AM to 7:00 PM weekend windows.

· Preferred: Prior experience in a veterinary clinic or other medical/service front desk role. Because our evening and weekend team will have limited coverage backup to start, experienced candidates will be prioritized.
