Overview
We are seeking a highly organized, detail-oriented, and resourceful Project Coordinator to support our team of superintendents, project managers, and owners. The ideal candidate will bring exceptional problem-solving skills, strong software proficiency, and a commitment to maintaining project timelines and quality standards. Key Responsibilities and Tasks
Project Document Management: Efficiently manage, process, copy, and file project-related forms and documents, including:
- Bidding process tasks (bid solicitations, follow-up with plan holders, pricing, pre-bid site visits, bid spreadsheets, takeouts and organizing meetings).
- Handling submittals, RFIs, work orders, change orders, certificates of insurance (COI), and project schedule updates.
- Assisting with project estimates, budgeting, and cost tracking (job costing, AR, collections, and purchase orders).
Project Coordination: Support project workflows by facilitating internal and external communications, maintaining accurate records, maintaining project schedules and tracking timelines to meet project deadlines.
Team Support: Provide correspondence and document updates for superintendents and contractors, including meeting minutes, construction drawings, and equipment orders. Collaborate with the team on equipment spreadsheets and ensure proper price-checking and equipment returns.
Administrative Support: Offer general corporate administrative assistance as needed, assist with tracking and monitoring project milestones, and support other teams during high workloads or vacations.
Cross-Functional Support: Step in to help other departments with overflow tasks or in the absence of key team members.
Qualifications
Required Experience:
- 2+ years of blueprint reading experience.
- 2+ years of experience in commercial construction
- 2+years of admin support
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint), with strong software skills overall.
- Strong team player with the ability to effectively collaborate with multiple managers.
- Highly organized, with exceptional attention to detail and problem-solving abilities.
- Ability to work independently with minimal supervision.
- Valid driver’s license.
Office and Travel
This role will require occasional travel to job sites, depending on project needs.
Job Type: Full-time
Pay: $55,000.00 - $70,000.00 per year
