Position Overview
The Small Projects & Maintenance Division Manager provides overall leadership and accountability for division performance, including estimating, project execution, financial management, personnel development, and business growth. This role serves as a key internal and external representative of the division, ensuring projects are delivered efficiently, profitably, and in alignment with company standards while supporting long‑term client relationships and repeat work.
Key Responsibilities
Division & Operational Leadership
- Lead day‑to‑day operations of the Small Projects & Maintenance Division.
- Establish and maintain standardized processes for estimating, job costing, work orders, billing, and project closeout.
- Ensure appropriate staffing levels and effective resource allocation across all projects.
- Participate in hiring, onboarding, coaching, and ongoing performance management of division staff.
Estimating & Preconstruction
- Oversee and/or perform estimating for small projects and maintenance work.
- Review drawings, specifications, and scopes for accuracy, completeness, and constructability.
- Develop bid packages and subcontractor scopes.
- Perform value engineering and cost analysis to meet client objectives and project budgets.
Financial Management
- Maintain accountability for division profitability, cost control, and overhead management.
- Review and approve budgets, job cost reports, forecasts, and financial projections.
- Review subcontractor and supplier pay applications.
- Approve and execute change orders and additional scopes of work.
- Prepare and submit owner change orders and monthly pay applications.
- Track job numbers and work orders to ensure accurate billing and financial reporting.
Project Oversight
- Oversee project schedules and ensure timely completion.
- Conduct regular site visits focused on quality, safety, and compliance.
- Review RFIs, scope changes, and field conditions to maintain cost and schedule control.
- Ensure complete, accurate, and timely project closeout documentation.
Client Relations & Business Development
- Serve as a primary point of contact for clients, owners, architects, and property managers.
- Build and maintain long‑term client relationships.
- Participate in networking, marketing, and business development efforts.
- Identify opportunities for repeat work and division growth.
Safety & Compliance
- Ensure compliance with OSHA standards and company safety policies at all times.
- Verify required permits, licenses, and inspections are obtained.
- Ensure adherence to company policies, procedures, and ethical standards.
Qualifications
- 5-10 years of construction industry experience with demonstrated leadership responsibility.
- Strong background in small projects, maintenance work, and estimating.
- Prior experience managing teams and/or business units preferred.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with construction and business software (Microsoft Office required; estimating software experience preferred)
- Strong organizational, analytical, and problem-solving skills.
