Program: Hilltown Transportation
Location: Chesterfield, MA Full Time-In Person
Reports To: Director of Community Programs - Transportation

Through housing programs, transportation services, small business support, community planning, and economic development initiatives, Hilltown CDC works to strengthen community vitality, expand opportunities, and ensure equitable access to essential services for all Hilltown residents.

Position Summary

Hilltown Easy Ride and other HCDC transportation focused programs serving the Northern and Southern Hilltowns, is seeking a full-time detail-oriented, organized, and community-minded Transportation Operations Coordinator. This position supports the daily operations of the program by handling incoming calls, scheduling transportation services, coordinating with drivers, and ensuring accurate data tracking and reporting.

The Operations Coordinator plays a vital role in keeping Hilltown residents connected to health care, food access, employment, and social opportunities.

Key Responsibilities

Daily Operations & Customer Service

  • Answer incoming calls and assist riders with service requests, scheduling, and general inquiries.
  • Provide courteous, clear, and compassionate support to riders, including older adults and individuals with mobility challenges.
  • Provide support to program staff and drivers as challenges present to effectively resolve issues.

Scheduling & Dispatch

  • Schedule transportation requests using program scheduling software and tools.
  • Assign daily and weekly trips to drivers, making real-time adjustments for cancellations, weather impacts, or delays.
  • Monitor daily trip flow and communicate updates promptly to program staff, drivers and riders.

Driver Coordination & Support

  • Assist in outreach, recruitment, and marketing efforts for new drivers and riders as needed.
  • Coordinate and track required driver trainings (e.g., CPR/First Aid, safety protocols, cultural competency, vehicle procedures).
  • Assist in locating sources for required staff trainings.
  • Maintain accurate and up-to-date training records to ensure compliance with program and grant requirements.
  • Provide weekly support to Program Manager to ensure timesheets and expense reports are submitted and approved in a timely manner for payroll and reimbursement.

Data Management & Reporting

  • Enter trip data, rider information, and operational metrics into scheduling and reporting systems.
  • Produce monthly and quarterly reports for internal use, grant funders, and community partners.
  • Collaborate with the Program Manager to refine data systems, reporting methods, and evaluation procedures.
  • Perform and track monthly client billing.

Procedures & Program Support

  • Assist with updating Standard Operating Procedures (SOPs) to improve program efficiency and consistency.
  • Support implementation of new scheduling software, technology updates, or operational improvements.
  • Work with the Program Manager to enhance workflow, safety practices, and program communications.

Qualifications

  • Strong customer service and communication skills; experience working with older adults or individuals with disabilities is a plus.
  • Excellent organizational abilities and comfort managing multiple tasks simultaneously.
  • Ability to research, learn and use scheduling software; strong accuracy in data entry and recordkeeping.
  • Proficiency with email, spreadsheets, databases, and general office software.
  • Experience in transportation coordination, social services, or administrative support preferred.
  • Ability to work independently, exercise good judgment, and remain calm under pressure.
  • Valid driver’s license.
  • Full time position. 37.5 Monday-Friday
