Transcend Veterinary is looking for a Veterinary Assistant Manager to join our growing urgent care team in Menasha, WI. This part-time role (20–25 hours/week) is built for someone with veterinary industry experience who wants to apply their knowledge to the operational side of the clinic. You’ll coordinate inventory, manage vendor relationships, support scheduling, and help keep day-to-day operations running smoothly—all while being part of a mission-driven team that’s redefining what veterinary workplaces can be.
This is not a clinical care position, and it is not a supervisory role. It’s an operational support role with real impact: you’ll be the person who makes sure the right supplies are on the shelf, the schedule works for everyone, and small problems get solved before they become big ones. What You’ll Do
As Veterinary Assistant Manager, you’ll report to Dr. Alissa Dankers (Co-Owner) and take ownership of the operational tasks that keep our clinic functioning at its best. Your core responsibilities include:
· Inventory Management: Manage physical inventory counts, reconciliation, and stock-out tracking using Shepherd PIMS software. Maintain accurate inventory levels to prevent disruptions to patient care.
· Product Ordering & Vendor Management: Coordinate ordering across multiple vendors (Patterson, MWI, Midwest, IDEXX, Covetrus, Zoetis, and others). Handle vendor returns, pricing discrepancies, and delivery issues. Build and maintain productive vendor relationships.
· Project Support: Helping to coordinate and implement clinic projects, celebrations, and community events.
· Community outreach: Help to maintain and grow non-profit or community relationships.
· Receiving & Stock Rotation: Receive incoming shipments, verify orders against purchase records, manage product expiration dates, and maintain proper stock rotation (first-in, first-out).
· Controlled Substance Support: Support the accurate recording and reconciliation of controlled substance transactions in compliance with DEA regulations and clinic protocols. Assist with physical inventory counts of controlled substances, monitor for discrepancies, and ensure proper documentation is maintained. Coordinate with veterinary staff on receiving, storage, and disposal procedures. All controlled substance activities are performed under the direction and oversight of the registered veterinarian. A background check is required for this responsibility.
· Weekly Cash Handling: Perform secure weekly cash counting and reconciliation procedures.
· Schedule Coordination: Coordinate staff schedule adjustments and coverage requests in a supporting capacity. This is a coordination role, not a supervisory one—you’ll help make the schedule work, not manage employee performance.
· Team Support & Conflict Navigation: Serve as a resource for navigating interpersonal tensions among staff. Escalate disciplinary, attendance, or performance concerns to ownership. You’ll support the team culture, not enforce policy.
· Ad-Hoc Support: Assist with onboarding support, training coordination, and occasional client-facing tasks as needed. May support administrative tasks from time to time.
· Problem-Solving: Handle day-to-day operational challenges with a practical, solutions-first mindset in our queue-based urgent care environment. This may include communicating with service providers and occasional basic software troubleshooting.
What We’re Looking For
Required Qualifications
· Prior veterinary industry experience (clinical background required; CVT certification is not required)
· Proficiency with digital tools and software systems (comfort with technology is essential)
· High school diploma or equivalent
· Must pass a background check (required due to controlled substance responsibilities)
· Strong attention to detail and organizational skills
· Ability to work independently while collaborating with a growing team (we’re scaling from 10 to 20+ staff)
· Flexible, solutions-oriented mindset comfortable with an active, queue-based urgent care environment
Preferred Qualifications
· Experience with Shepherd PIMS or similar veterinary practice management software
· Prior team coordination, office management, or inventory management experience
· Associate’s or Bachelor’s degree (relevant field preferred but not required)
· Familiarity with veterinary supply chain operations and multi-vendor management
Compensation & Benefits
· Hourly Rate: $20.00–$25.00 per hour, based on experience and qualifications
· Schedule: 20–25 hours per week. Ideal candidate will have flexible availability
Employees working fewer than 25 hours per week receive Personal Pet Care Discounts.
· Path to Full-Time: As Transcend Veterinary grows, so will this role. We’re actively looking for someone who wants to grow with us, with a clear path from part-time to full-time as organizational needs expand.
