Assistant Property Manager

About the Role

We are seeking a highly organized, proactive Assistant Property Manager to support the day-to-day operations of our growing multifamily portfolio in Columbus, Ohio.

This is not simply an administrative role. The Assistant Property Manager will take ownership of key resident and property-management workflows including applications, move-ins, collections, resident account questions, maintenance coordination, lease administration, and follow-up.

The ideal candidate is responsive, detail-oriented, comfortable speaking with residents about difficult issues, and able to follow a process without needing constant supervision.

Your job is to help keep properties occupied, residents informed, collections moving, and property-management tasks from falling through the cracks.

Key ResponsibilitiesApplications & Leasing Administration

  • Review rental applications for completeness.
  • Verify income, identification, rental history, and required supporting documentation.
  • Follow up aggressively on incomplete applications.
  • Coordinate application approvals, denials, and conditional approvals with the Senior Property Manager.
  • Coordinate deposit or rent-guarantee programs when applicable.
  • Collect holding deposits and required move-in funds.
  • Prepare leases, addenda, utility instructions, and move-in charges.
  • Confirm required signatures, insurance, utilities, and funds before possession.
  • Maintain accurate applicant and leasing records.

Move-Ins & Move-Outs

  • Coordinate move-ins with residents, leasing, maintenance, and accounting.
  • Confirm utility transfers and renter's insurance.
  • Ensure units and required documentation are ready before move-in.
  • Coordinate move-out instructions and documentation.
  • Help ensure security deposit and resident accounting information is properly documented.

Collections & Resident Accounts

  • Respond to resident questions regarding balances, ledgers, payments, fees, and charges.
  • Follow up on delinquent accounts.
  • Coordinate payment plans according to company policy.
  • Send required notices and collection communications.
  • Track commitments to pay and follow up when commitments are missed.
  • Escalate high-risk delinquency situations to the Property Manager.
  • Help maintain accurate resident ledgers and payment records.
  • Process or coordinate physical payments and money orders when required.

Maintenance Coordination

  • Receive and review resident maintenance requests.
  • Make sure work orders contain sufficient information, photos, and access instructions.
  • Coordinate with maintenance staff and vendors.
  • Follow up on aging or unresolved work orders.
  • Communicate status updates to residents.
  • Escalate emergencies and recurring property issues appropriately.
  • Confirm completion and resident satisfaction when necessary.

Resident Communication

  • Serve as a primary point of contact for routine resident questions.
  • Respond professionally and promptly by phone, SMS, and email.
  • Research issues before escalating them to senior management.
  • Document important resident interactions.
  • Handle difficult conversations calmly and professionally.
  • Help ensure residents do not feel ignored, even when an issue requires additional research.

Property Management Administration

  • Maintain accurate records in Buildium and other company systems.
  • Upload notices, documentation, photos, correspondence, and resident records.
  • Track open tasks and follow up until completion.
  • Assist with lease renewals and non-renewals.
  • Support inspections, violations, notices to cure, and resident compliance.
  • Coordinate with leasing, maintenance, accounting, and management teams.
  • Assist the Senior Property Manager with portfolio-wide operational priorities.

What We're Looking For

We are looking for someone who is:

  • Extremely organized and detail-oriented.
  • Comfortable managing a large number of open tasks simultaneously.
  • Persistent with follow-up.
  • Strong on the phone and in written communication.
  • Comfortable discussing rent balances and collecting past-due amounts.
  • Able to solve routine problems independently before escalating them.
  • Comfortable enforcing policies while remaining professional with residents.
  • Technically capable and able to learn new software quickly.
  • Able to document work consistently.
  • Accountable for outcomes rather than simply completing assigned tasks.

Preferred Experience

  • Property management, leasing, collections, or resident-services experience.
  • Multifamily or workforce-housing experience strongly preferred.
  • Experience with Buildium or another property-management platform.
  • Experience handling resident ledgers and delinquency.
  • Experience preparing leases and move-in documentation.
  • Experience working remotely with a U.S.-based team.
  • Familiarity with Slack, Google Workspace, CRM systems, and task-management software.
