Position Summary

We are seeking a highly organized, proactive, and professional Program Coordinator to support the successful delivery of educational programs across multiple school sites. This role is ideal for someone with a positive attitude, strong communication skills, and a willingness to learn all aspects of program operations. The Program Coordinator will play a critical role in ensuring that classes are fully staffed, school partners are supported, and programs run smoothly each week.

The successful candidate will be comfortable traveling to various locations, managing multiple priorities, and building positive relationships with school staff, teaching artists, and community partners. This position offers opportunities for growth into event planning, marketing coordination, and large-scale showcase production.

Key ResponsibilitiesProgram Operations & Staffing

  • Learn and maintain company schedules across multiple school and district sites.
  • Coordinate weekly staffing assignments to ensure all classes and programs are adequately staffed.
  • Communicate regularly with teaching artists, instructors, and school partners regarding schedules, coverage, and program needs.
  • Monitor staffing changes and proactively identify solutions to prevent service disruptions.
  • Assist with onboarding and scheduling support for new instructors and program staff.
  • Serve as a liaison between school sites, instructors, and company leadership.

Site Support & Travel

  • Travel to school and program locations as needed to provide operational support.
  • Build and maintain positive relationships with school administrators, teachers, and district personnel.
  • Conduct site visits to ensure program quality and address concerns in a timely and professional manner.
  • Support program launches, special projects, and district initiatives.

Event Coordination

  • Assist in planning and coordinating special events, performances, workshops, and community engagement activities.
  • Support logistics, scheduling, communications, and staffing for events.
  • Help coordinate end-of-year showcases and district-wide celebrations.

Marketing & Communications

  • Assist with gathering program highlights, success stories, and promotional content.
  • Support marketing initiatives and community outreach efforts.
  • Collaborate with leadership on event promotion and stakeholder communications.
  • Contribute to the planning and execution of district showcase events and public presentations.

Administrative Support

  • Maintain accurate schedules, records, and program documentation.
  • Track staffing needs and program updates.
  • Prepare reports and communications as needed.
  • Support continuous improvement efforts across program operations.

Qualifications

  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Professional demeanor with strong interpersonal skills.
  • Reliable transportation and willingness to travel to various program locations.
  • Proficiency with Google Workspace and Microsoft Office applications.
  • Experience in education, youth programs, event coordination, or nonprofit programming is preferred but not required.
