Location: Seattle, WA — In-office, Monday–Friday, 8am–5pm\
Compensation: $85,000–$95,000 base + performance bonus (target $95,000–$110,000+)

If you’re an experienced Executive Assistant who wants to be a true right hand to a founder – with real ownership over pipeline, operations, and projects – this is for you.
We’re a boutique Seattle residential real estate brokerage averaging ~$1M homes. The CEO is a high-producing operator who needs a partner, not a note-taker. You’ll sit at the center of the business: calendar, pipeline, clients, vendors, and internal projects all run through you.

What You’ll Own
CEO enablement
- Manage the CEO’s calendar, inbox, and priorities with autonomy.
- Arrive before the CEO, prepare a daily one-page brief with priorities, calendar, and pending decisions.
- Your standard: no surprises in the CEO’s day.
Pipeline management
- Run the sales pipeline in Follow Up Boss independently.
- Keep stages accurate, follow-up cadences active, and lead hygiene clean without being asked.
Transaction oversight
- Manage and hold accountable the TC handling open-to-close transactions.
- Act as the escalation point so nothing falls through the cracks between pipeline and closing.
Client communication
- Draft and send client-facing communication in the CEO’s voice.
- Maintain relationships, follow-through, and proactive updates.
Reporting & insights
- Build and run recurring reports on pipeline health, agent activity, and business performance.
- Turn data into clear takeaways and flag issues before they become problems.
AI & technology
- Evaluate and implement AI and software tools that create leverage for the CEO and team.
- Own rollout and adoption; you don’t need to code, but you do need to be curious and resourceful.
People & operations
- Provide day-to-day direction to support staff and vendors.
- Coordinate contractors and internal projects; hold people to deadlines and standards.
Process improvement
- Identify operational bottlenecks and propose concrete improvements.
- This role has the autonomy and standing to influence how we work.
Content support
- Own logistics and execution of a weekly YouTube content day with the CEO (behind the camera).
- As the brand grows, this is expected to scale to twice weekly.
Office operations
- Keep the small physical office organized, stocked, and functional (typically under one hour per week).
You’re a Strong Fit If
- You have 4+ years in an EA, operations, business manager, or senior admin role.
- You’ve successfully “managed up” for a high-performing executive.
- Your written communication is exceptional.
- You have hands-on CRM experience; Follow Up Boss is a strong plus.
- You’re comfortable with reporting and spotting trends in data.
- You exercise strong judgment and discretion with sensitive information.
- You’re genuinely excited about AI tools and are already using some.
- You can be fully in-office in Seattle, Monday–Friday.
- You’re comfortable with occasional evening/weekend availability for urgent issues or launches (typically a few times per month, with notice when possible).
