Overview
We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. Responsibilities
- Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth
- Operate multi-line phone systems, answer incoming calls, and route messages accurately
- Maintain organized filing systems, perform data entry, and ensure all records are up-to-date
- Coordinate calendar management and schedule installs, service calls, surveys for staff and executives
- Handle clerical tasks such as proofreading documents, managing correspondence, and preparing reports
- Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking
- Provide excellent customer support via phone, email, and in person, ensuring a positive experience for clients and visitors
- Sufficient in the usage of Square and invoicing.
- Creating estimates using Square
Qualifications
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Microsoft email, Square) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with keen attention to detail and accuracy in typing and data entry
- Bilingual abilities are a plus to assist diverse client needs effectively
- Exceptional phone etiquette, customer service skills, and the ability to handle multi-line phone systems confidently
- Prior experience as a receptionist or personal assistant is advantageous, especially in Sign making settings
- Demonstrated ability to manage time efficiently while juggling multiple priorities
