Overview
We are seeking a highly organized and personable Administrative Assistant/Customer Support Specialist to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong office management skills, proficiency with computer applications, and excellent communication abilities, including bilingual capabilities. Experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems is highly desirable. This position offers an engaging environment where attention to detail and efficient time management are essential.
Responsibilities
- Manage front desk operations, greeting visitors and handling inquiries professionally
- Answer and direct calls using multi-line phone systems with excellent phone etiquette
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace
- Assist with QuickBooks and other office management software
- Proofread documents for accuracy and clarity before distribution
- Provide customer support via phone, email, to ensuring high levels of customer satisfaction
- Knowledge of Zendesk, is a plus but not required
- Handle administrative tasks such as filing, copying, and organizing documents
- Support office management activities including supply ordering and facility coordination
Requirements
- Proven office experience with strong clerical skills and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or bookkeeping software is a plus
- Excellent typing speed and data entry skills with high accuracy
- Strong customer service orientation with professional phone etiquette
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Demonstrated organizational skills with attention to detail and proofreading capabilities
- Knowledge of office management practices and administrative procedures
- Ability to work independently while collaborating effectively within a team
