Overview
We are seeking a dynamic and highly organized Executive Administrative Assistant to join our team. This vital role offers the opportunity to support senior executives by managing a wide range of administrative functions with energy, professionalism, and precision. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, strong communication abilities, and a proactive approach to office management. Your expertise will help ensure smooth daily operations, facilitate effective communication, and uphold the highest standards of customer service.

Duties

  • Manage complex calendars and schedule appointments for executives, coordinating meetings and travel arrangements efficiently
  • Assist with payroll and HR functions.
  • Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure accuracy and clarity
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Suite
  • Assist with bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial recordkeeping
  • Provide exceptional customer support at the front desk by greeting visitors, answering inquiries, and managing visitor logs
  • Support office management functions including supply ordering, equipment maintenance, and general administrative support
  • Perform data entry tasks with high accuracy while managing confidential information discreetly
  • Coordinate calendar management for executives, including scheduling meetings, appointments, and reminders
  • Support personal assistant duties as needed to facilitate smooth daily operations

Experience

  • Proven experience in an office environment with strong clerical skills and familiarity with office management practices
  • Prior experience as a receptionist or in customer service roles demonstrating excellent phone etiquette and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry software
  • Knowledge of bookkeeping software such as QuickBooks is preferred for financial tasks
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently under pressure
  • Strong typing skills combined with attention to detail for proofreading documents accurately
  • Previous experience supporting executive-level staff or as a personal assistant is advantageous
  • Familiarity with medical or dental receptionist duties can be beneficial but is not required
