Position Summary

The Food Pantry and Facilities Associate is a full-time, permanent position that reports directly to the Executive Director. This role is responsible for supporting the day-to-day operations of WellSpring, ensuring that facilities, programs, and services are maintained in a safe, efficient, and welcoming manner. This position plays a key role in facility management, food pantry operations, and donation management.

Essential Duties and Responsibilities

The following reflects WellSpring's definition of essential functions for this position but does not restrict the tasks that may be assigned.

Facility Operations and Maintenance

  • Ensure compliance with safety regulations and inspection requirements, including fire safety inspections, Board of Health inspections, and emergency preparedness drills.
  • Review, order, and maintain office, facility, and program supplies and equipment.
  • Work closely with the Maintenance Associate and Housekeeper to ensure the building and grounds remain clean, safe, functional, and welcoming.
  • Assist with facility maintenance and housekeeping duties as needed, including unit turnover, minor repairs, cleaning, and preparing spaces for occupancy.
  • Conduct regular WellSpring room inspections on Mondays and Wednesdays.
  • Utilize electrostatic sprayers and portable UV sanitation equipment in high-use areas as needed.

Food Pantry Operations

  • Manage all daily food pantry operations.
  • Supervise pantry volunteers, including drivers and stockers.
  • Coordinate food distribution to individuals and families.
  • Monitor inventory to ensure products are within expiration dates and properly stored.
  • Maintain cleanliness and organization of pantry spaces.
  • Record and monitor freezer and cooler temperatures.
  • Prepare and submit required monthly reports to partner organizations, including Gleaners.
  • Order food and supplies while promoting access to nutritious and healthy food options for families.

Donation and Resource Management

  • Coordinate and conduct regular donation pick-ups from community partners, including Walmart, Dollar General, Midwest Food Bank, Gleaners, and other organizations.
  • Assist with receiving, organizing, and distributing donated goods.

Community Outreach and Program Support

  • Serve as a member of WellSpring's Hospitality Team.
  • Support agency programs and special initiatives as needed.
  • Assist with volunteer engagement and coordination activities related to operations and facility needs.

Other Duties

  • Perform other duties and responsibilities as assigned to support the mission and operations of WellSpring.

Required Qualifications

Education and Experience

  • High school diploma or equivalent required.
  • Experience in operations, facilities management, nonprofit services, food pantry management, or related fields preferred.

Certifications and Requirements

  • Ability to successfully complete Employment Eligibility Verification.
  • Valid driver's license, reliable transportation, and an acceptable driving record.
  • Successful completion of a background screening.
  • CPR and First Aid certification, or willingness to obtain certification upon hire (provided by WellSpring).

Knowledge, Skills, and Abilities

  • Working knowledge of Microsoft Office applications.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and apply critical-thinking skills in a fast-paced environment.
  • Demonstrated ability to work independently and as part of a team.
  • Effective verbal and written communication skills.
  • Strong time-management and problem-solving abilities.
  • Commitment to treating all guests, volunteers, community partners, and staff with dignity and respect.

Physical Requirements

  • Ability to regularly lift, carry, push, and pull up to 50 pounds.
  • Ability to stand, walk, bend, reach, and perform physical tasks associated with facility maintenance, donation pick-ups, pantry operations, and outreach activities.
  • Ability to safely operate agency vehicles and equipment as required.

Work Schedule

This is a full-time position. Work hours are Monday through Friday.

Pay: From $20.00 per hour
