Administrative Assistant

Company: Comtek International

Position Type: Full-Time (Hybrid)

Schedule: In-office Downtown Chicago Office - Tuesday and Thursday; Remote Monday, Wednesday, and Friday

Compensation: Competitive and commensurate with experience

Position Summary

Comtek International is seeking a highly organized and detail-oriented Administrative Assistant to support operations, personnel processing, account management activities, and internal software transition initiatives. The ideal candidate will possess strong organizational and communication skills, the ability to manage multiple priorities, and a professional approach to both internal and client-facing responsibilities.

Key ResponsibilitiesAdministrative & Personnel Support

  • Maintain employee and client records, ensuring all documentation is accurate, complete, and up to date.
  • Coordinate the collection, verification, filing, and tracking of required personnel documentation
  • Collaborate with account managers, recruiters, and accounting personnel to ensure accurate processing of personnel.
  • Support HR-related functions, including onboarding, offboarding, contract management, and application processing.
  • Prepare and distribute company memorandums and maintain records of all communications.
  • Assist with office organization and administrative operations.
  • Coordinate and distribute annual client communications regarding holidays and company updates.

Software Transition Support

  • Assist in leading and coordinating the transition to Reqstaq.
  • Work with individuals, creating onboarding documents for transition, answer questions
  • Support the finance team during implementation and process adjustments to ensure a successful transition.

Qualifications

  • Bachelor's degree required.
  • Prior work experience

  • Professional client communication skills and the ability to build positive relationships.
  • Detail-oriented with strong follow-through and the ability to meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with business software applications and technology platforms.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Positive attitude, strong work ethic, and high level of professionalism.
  • Russian and/or Ukrainian language proficiency is highly desirable.

Pay: From $55,000.00 per year
