Job Summary
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and computer literacy will ensure smooth office management, supporting daily administrative functions with efficiency and professionalism. Duties

  • Greet visitors warmly, ensuring a positive first impression for everyone entering the facility
  • Answer, screen, and direct incoming calls using multi-line phone systems with professionalism and courtesy
  • Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to maintain accurate records and support administrative tasks
  • Assist with office management duties such as supply inventory, mail handling, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by responding promptly to inquiries via phone or email, ensuring excellent customer service at all times
  • Support clerical functions including typing correspondence, managing office emails, and maintaining organized files

Experience

  • Prior office experience or administrative support roles demonstrating strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience handling multi-line phone systems with excellent phone etiquette
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Familiarity with QuickBooks or bookkeeping software is a plus for supporting basic financial tasks
  • Strong typing skills combined with data entry accuracy and proofreading capabilities
  • Previous experience as a dental or medical receptionist is advantageous but not required; relevant personal assistant experience is also valuable
