7 ways to streamline interviewing with Indeed
Let’s look at how to streamline your interview process with Indeed. We’ll walk you through every step, from choosing who to interview to reviewing interview feedback and making final hiring decisions—and how you can do it all on Indeed.
1. Add filtering criteria to your job post
Both screener questions and Indeed Assessments can help you filter out unqualified candidates so you’re only connecting with those who meet your most important criteria.
Use Indeed’s screener questions to ask candidates specific questions related to job requirements or qualifications. You can also include interview availability as a screener question to make scheduling easier later on.
Add Indeed Assessments to your job post if you want to evaluate certain skills—and improve the chances candidates will show up for the interview. Candidates who completed Indeed Assessments were reported as “no-shows” for interviews 38% less on average than those who did not complete an Assessment.
Adding filtering criteria to your job post can also help Indeed more accurately screen applicants when you opt in to Screening and Scheduling Automation, which we’ll go over in Step 3.
2. Conduct initial phone screens
See a candidate who fits your criteria? Give them a quick call. Pre-screening phone calls can help confirm basic qualifications, gauge a candidate’s interest level and determine if there’s a mutual fit worth exploring further.
Keep phone screens focused and concise by preparing a standardized set of questions that assess key qualifications, skills and important details like shift availability and salary expectations. This helps ensure consistency and efficiency while gathering necessary information about candidates.
3. Schedule interviews through Indeed
Consider scheduling virtual and in-person interviews in advance. Indeed offers two convenient methods for scheduling interviews that eliminate the need for back-and-forth communication
- Manual interview invites: With this option, simply choose dates and times that work for you, select an interview type (video, or in-person), include a message to the candidate and send the invitation. If you included interview availability as a screener question, you can also use the candidate’s response to choose interview times that work for everyone.
- Automated interview invites: When you opt in to Screening and Scheduling Automation, Indeed automates screening of applicants who meet your pre-set quality criteria. Any candidate who meets your screening criteria is asked to select an interview time based on your availability. This method helps accelerate time to hire. In fact, jobs using Screening and Scheduling automation are 18% more likely to report a hire by day seven.
Indeed can also take the stress out of scheduling in-person interviews. Send customized interview invitations through Indeed with details like instructions for parking, arrival and the expected dress code.
4. Prepare questions for the interview
An Interview Guide on Indeed is a list of interview questions you plan on asking candidates during a structured job interview to effectively compare candidates more objectively. To create an Interview Guide, choose from our bank of unique interview questions across several popular industries to help you hire for specific roles. These questions have been written by HR specialists, but you can also create your own custom interview questions.
Save selected questions as a template that you can then use across all virtual interviews. You’ll be able to view these questions while interviewing candidates and take notes on candidate responses. This allows you to easily compare candidates side-by-side after completing all of your interviews.
Completed interviews which used an Interview Guide were 29% more likely to rate candidates “yes.”

5. Conduct virtual interviews
Indeed Interview is a video conferencing platform optimized for live virtual interviewing. There’s no software or apps to download. Since it’s built for interviewing, you can take advantage of features such as the ability to view resumes, take notes, view interview questions and invite multiple interviewers (up to 50).

Virtual interviews are a game-changer when it comes to increasing interview show rates. They offer a flexible and accommodating experience for candidates and busy recruiters, making it easier for everyone to connect and participate in the interview process. In fact, interviews on Indeed report 38% fewer candidate “no-shows” on average compared to in-person interviews.

6. Collaborate with your interview team
Indeed’s collaboration and feedback tools allow you to involve multiple team members in the interview process. This allows for efficient communication, sharing of feedback and consensus-building to help you make better hiring decisions.
For example, you can invite multiple interviewers if you want to conduct a virtual panel interview. You can also record interviews if the candidate agrees to it so others in your hiring team can watch it back later. Additionally, after completing an interview, you’ll complete an evaluation form where you can document your notes and feedback to share with your hiring team. Collecting interview feedback from everyone in one place can help you make more objective, well-rounded hiring decisions.

7. Keep candidates in the loop—and let them know if they don’t make the cut
Give candidates timely feedback after interviews and promptly make decisions to move qualified candidates forward to the next stage of the interview process. This helps maintain momentum and keeps candidates engaged and informed, contributing to a more positive candidate experience.
If you choose not to move forward with someone after an interview, be sure to send them a rejection message to let them know.
